Permissions and User Roles

Control who can view, edit, or manage different parts of a project.

👥 User Roles & Permissions in InTakt

InTakt encourages full team participation with unlimited users per project. To support collaboration while protecting control, InTakt allows flexible permissioning—from simple view-only access to fine-grained task-level editing.

🧑‍💼 Default User Roles

When inviting users, you can choose from built-in roles:

  • Admin: Full control—can manage users, projects, and all schedule elements.
  • Editor: Can modify tasks, links, and project settings (depending on tagging).
  • Viewer: Read-only access.

🛠️ Creating Custom Roles

Need something more tailored? You can build a custom role:

  1. Tap Manage Users > Add Role.
  1. Name the role (e.g. Trade Partner, Client Viewer).
  1. Choose permissions like:
      • Edit their own tasks
      • Modify durations or links
      • Manage roadblocks
      • Create task units
      • Manage users

You can copy from an existing role or start from scratch.

🏷️ Tag-Based Permissions

  • Assign users to tags (like Plumbing, Flooring) to control what tasks they can access.
  • Task-level actions apply only to tagged items unless global access is given.

Example: A trade partner tagged for "Plumbing" can edit only plumbing tasks, not framing or electrical.

Inviting Users

  1. Click Manage Users in the top-right.
  1. Enter email, select role (or custom role).
  1. Tag them to relevant scopes.

Done! They’ll receive an invite and access only what they’re authorized to see and edit.
